1. About Reimagine Tours® & These Terms

Reimagine Tours® (operated by Reimagine Group, headquartered in Tinley Park, Illinois, USA, and operationally based in Germany) provides Bespoke Travel Advisory design services and Destination Management Company (DMC) services to a wide range of clients worldwide.

These Terms and Conditions govern the relationship between Reimagine Tours® and any individual or entity that engages our Bespoke Travel Advisory or DMC services, including but not limited to:

  • Private travellers, couples, families, and groups
  • Travel agencies and tour operators
  • Destination Management Companies (DMCs)
  • River and ocean cruise lines
  • Corporate clients, incentive travel planners, and event organizers
  • Hotels, hostels, bed & breakfasts, Airbnb hosts, and holiday rental operators
  • Transportation providers including car rentals, van rentals, RV rentals, limousine services, private jet services, airlines, helicopter services, and bus operators
  • UNESCO World Heritage Sites, royal residences, palaces, castles, cathedrals, basilicas, museums, tourist attractions, and landmarks
  • Tourist information centres and destination management organizations
  • Conference, event, and incentive planners
  • Travel bloggers, influencers, lifestyle and membership clubs
  • Educational and cultural institutions organizing field trips or study tours
  • Wedding and honeymoon planners
  • Corporate travel managers and corporate event planners
  • Wellness resorts and spas offering guest activity packages
  • Any other individual or entity engaging our advisory or DMC services

By engaging Reimagine Tours® for Bespoke Travel Advisory or DMC services — whether through a signed agreement, payment of a retainer or planning fee, email confirmation, or any other form of engagement (including booking a custom tour or service) — you agree to be bound by these Terms and Conditions in their entirety.

These terms are to be read alongside the full Legal Terms and Conditions of Reimagine Tours® published at reimaginetours.com, which are incorporated herein by reference. In the event of any conflict, these Bespoke & DMC Terms take precedence for matters specific to these services.

2. Nature of Our Services

2.1 Bespoke Travel Advisory

Reimagine Tours® acts as a professional travel design consultant and advocate. Our Bespoke Travel Advisory service provides:

  • Custom itinerary architecture and day-by-day journey design
  • Destination research, insider recommendations, and vetted local connections
  • Transportation and logistics planning including rail, private transfers, and car rentals
  • Sourcing and introduction to elite accommodation, experience, and activity partners
  • Booking management, live booking links, and VIP partner access
  • Expert advocacy and dedicated support throughout the planning and travel process

Important: Under the Bespoke Travel Advisory model, the client books and pays directly with hotels, airlines, and other suppliers. Reimagine Tours® charges a professional planning and design fee for its advisory, design, and coordination work. This fee is entirely separate from any supplier costs and is non-refundable as set out in Section 5.

The Company provides bespoke travel planning, coordination, and arrangement services including itinerary design, supplier sourcing, scheduling, communication management, and operational coordination. The Company may engage or assign independent third-party suppliers such as guides, drivers, and activity providers to deliver parts of the itinerary.

2.2 Destination Management Company (DMC) Services

Reimagine Tours® provides full-service DMC operations for private travelers, groups, corporate clients, and travel industry professionals. DMC services include:

  • End-to-end operational planning, coordination, and on-the-ground execution
  • Transportation and transfer management worldwide
  • Tour coordination, guide sourcing and management, and shore excursion management
  • Accommodation sourcing and management
  • Corporate event, incentive travel, and team-building program management
  • Real-time on-site operational oversight and problem resolution
  • Custom and high-stakes program management for VIP, celebrity, and sensitive travel

Under the DMC model, Reimagine Tours® acts as the operational manager and coordinator. Services may be delivered directly or through our vetted network of Supplier Partners. Our coordination and management fees are separate from supplier costs and are non-refundable as set out in Section 5.

2.3 What We Are Not

Reimagine Tours® is a travel designer, coordinator, and DMC. We are not an insurance provider, a legal advisor, or a financial institution. We are not responsible for the acts or omissions of third-party suppliers, airlines, hotels, or any other service provider engaged directly by the client or introduced by us, except where we have expressly assumed direct operational responsibility in writing.

The Company does not own, operate, or directly control third-party services including tours, transportation, guides, accommodation, or activities. All such services are delivered under the responsibility and terms of the respective supplier.

3. Scope of Protection & Non-Circumvention

All clients acknowledge that Reimagine Tours® invests significant expertise, time, and resources in identifying, vetting, and maintaining relationships with its network of local guides, suppliers, accommodation partners, transportation providers, and other service providers.

By engaging Reimagine Tours®, the client agrees that, without prior written consent from Reimagine Tours®, they shall not (unless authorized by us):

  • Directly contact, contract, negotiate with, or engage any partner, supplier, guide, hotel, or service provider introduced by Reimagine Tours® outside of and independently from Reimagine Tours®
  • Use information, introductions, booking links, or connections provided by Reimagine Tours® to arrange bookings or services independently, bypassing Reimagine Tours®
  • Share or disclose introduced partner details with any third party for the purpose of direct engagement
  • Arrange bookings through affiliates, subsidiaries, or third parties in a manner intended to circumvent this clause

This non-circumvention obligation applies across all cities, destinations, programs, and services where Reimagine Tours® has introduced partners, and covers all future programs involving the same or similar services, regardless of whether those bookings occur during or after the engagement with Reimagine Tours®.

Breach: In the event of a breach of this clause, Reimagine Tours® reserves the right to seek recovery of all damages, reasonable legal fees, and any other available remedy under applicable law.

4. Bookings, Confirmations & Client Responsibilities

4.1 Engagement & Confirmation

An engagement with Reimagine Tours® for Bespoke or DMC services is confirmed upon payment of the applicable planning retainer or professional fee, or upon written confirmation from Reimagine Tours®. Verbal discussions, general inquiries, or preliminary consultations do not constitute a confirmed engagement.

4.2 Accurate Information

The client is responsible for providing (and confirming) accurate, complete, and timely information required for the design and execution of their program, including but not limited to passenger numbers, travel dates, special requirements, dietary needs, accessibility requirements, and any changes to the group composition. Reimagine Tours® is not liable for any errors, omissions, or additional costs arising from inaccurate or incomplete information provided by the client.

4.3 Client Responsibilities for Supplier Bookings

Under the Bespoke Travel Advisory model, where the client books directly with hotels, airlines, and other suppliers using links or information provided by Reimagine Tours®, the client assumes full responsibility for those bookings, including compliance with the supplier’s own terms and conditions, cancellation policies, and payment obligations. Reimagine Tours® is not a party to those direct supplier contracts.

4.4 Travel Documentation

The client is solely responsible for ensuring that all travelers hold valid passports, visas, travel permits, and any other documentation required for their journey. Reimagine Tours® is not liable for any costs, losses, or disruptions arising from a traveler’s failure to hold adequate documentation.

4.5 Travel Insurance

Reimagine Tours® strongly recommends that all clients and their travelers purchase comprehensive travel insurance covering trip cancellation, medical expenses, personal property loss, and travel disruption. Reimagine Tours® is not responsible for any personal expenses resulting from illness, flight delays, cancellations, or any other travel disruption. 5. Fees, Payment & Refund Policy

5.1 Professional Planning & Design Fees

All professional planning, design, retainer, and coordination fees charged by Reimagine Tours® are 100% non-refundable, regardless of the reason. This applies from the moment the fee is paid and the engagement is confirmed.

This includes but is not limited to:

  • Bespoke Travel Advisory planning retainers and design fees
  • DMC coordination, planning, and management fees
  • Research, itinerary architecture, and logistics fees
  • Any other professional service fee charged by Reimagine Tours®

The non-refundable nature of these fees reflects the professional time, expertise, research, and resources invested by Reimagine Tours® from the moment an engagement is confirmed, regardless of whether the client ultimately travels or proceeds with the program.

The service fee covers planning, coordination, research, communication, and administrative work and is earned upon commencement of services.

5.2 Supplier Costs & Third-Party Fees

Where Reimagine Tours® pays third-party suppliers on behalf of the client as part of a DMC program, those costs are subject to the cancellation and refund policies of the respective supplier. Reimagine Tours® will communicate applicable supplier cancellation windows to the client. Supplier costs that are non-refundable by the supplier cannot be refunded by Reimagine Tours®.

5.3 Payment Terms

Payment terms are as specified in the applicable proposal, invoice, or engagement letter. All payments are due in the currency stated. Reimagine Tours® reserves the right to suspend or cancel services where payment is not received by the due date.

5.4 Currency & Exchange Rates

All bookings and transactions are processed in Euro (€) unless otherwise agreed in writing. Reimagine Tours® is not responsible for any fluctuations in exchange rates or additional foreign transaction fees charged by the client’s bank or card issuer.

5.5 Chargeback & Payment Dispute Policy

By engaging Reimagine Tours® and making payment, the client expressly agrees to the Chargeback and Payment Disputes Policy set out in the full Legal Terms and Conditions at reimaginetours.com.

The client agrees not to initiate a chargeback, payment reversal, or dispute with their bank, card issuer, or payment platform.

Initiating a chargeback without following this process constitutes a breach of contract. The client remains liable for the full original amount plus all associated fees, penalties, and legal costs incurred by Reimagine Tours® as a result of the dispute. Reimagine Tours® reserves the right to pursue recovery through collections or legal action and to permanently suspend future services to the client.

6. Cancellation & No-Show Policy

6.1 Client-Initiated Cancellation

All professional fees paid to Reimagine Tours® are 100% non-refundable upon cancellation, regardless of the reason. This includes cancellations due to illness, personal changes, travel disruptions, airline cancellations, government advisories, or any other circumstance.

For DMC programs where Reimagine Tours® has contracted with third-party suppliers, the client is responsible for any supplier cancellation fees or non-refundable costs incurred. Reimagine Tours® will communicate applicable cancellation deadlines and costs as part of the program documentation.

Any refunds related to third-party services must be requested directly from the respective supplier in accordance with their terms and conditions.

6.2 No-Shows & Late Arrivals

For any confirmed service, tour, transfer, or activity coordinated by Reimagine Tours®, if the client or their passengers are not at the designated location at the confirmed time, the service will be marked as a No-Show.

No refunds, credits, or rescheduled services will be provided for no-shows or late arrivals under any circumstances.

The client is solely responsible for ensuring all travelers are informed of meeting points, times, and the consequences of late arrival.

6.3 Reimagine Tours®-Initiated Changes or Cancellations

Reimagine Tours® reserves the right to modify, reschedule, or cancel services due to circumstances beyond our control as described in Section 7. In such cases, Reimagine Tours® will endeavour to provide reasonable alternatives. Professional fees paid to Reimagine Tours® remain non-refundable. Eligibility for refund of supplier costs depends on the individual supplier’s policies.

7. Circumstances Beyond Our Control (Force Majeure)

Reimagine Tours® reserves the right to modify, reschedule, or cancel any service due to circumstances outside our reasonable control, including but not limited to:

7.1 Safety & Weather

Services operate under all normal weather conditions including light rain. In severe weather that impacts safety or significantly disrupts the experience, services may be modified, rescheduled, or cancelled at the sole discretion of Reimagine Tours®, with safety as the primary consideration. Normal weather conditions including light rain do not qualify for refunds or credits.

7.2 Site Closures & Renovations

Sections of attractions, museums, palaces, landmarks, or venues may be closed due to maintenance, renovations, or operational decisions by the venue. Where this occurs, services will continue in and around available areas and will be adapted accordingly. Partial closures do not qualify for refunds as they are outside the control of Reimagine Tours®.

7.3 Transportation Disruptions & Strikes

In the event of transportation disruptions, strikes, or industrial action that prevents service delivery, Reimagine Tours® will use reasonable efforts to provide an alternative. Where the service cannot proceed, it will be cancelled. No refund of professional fees will be issued where disruption is caused by third-party transportation providers or industrial action.

7.4 Health, Emergencies & Government Restrictions

Services may be cancelled or modified due to global pandemics, wars, civil unrest, government-imposed restrictions, sudden illness or injury of key personnel, or any other emergency beyond our control. Reimagine Tours® will endeavour to provide reasonable notice and alternatives where possible.

7.5 Itinerary & Route Changes

Reimagine Tours® reserves the right to modify itineraries, routes, stops, or inclusions without prior notice based on local conditions, availability, safety, or operational requirements. Such modifications do not entitle the client to a refund or credit.

7.6 Exclusive Remedy

If Reimagine Tours® must cancel a service due to force majeure, we will first attempt to provide an alternative date or replacement. If rescheduling is not possible, the client may be issued a Service Credit Voucher for the value of any supplier costs recoverable, valid for 24 months. This voucher is the client’s sole and exclusive remedy. Reimagine Tours® is not liable for any consequential damages including airfare, accommodation, or other travel expenses incurred due to cancellation.

8. Assumption of Risk & Limitation of Liability

By engaging Reimagine Tours®, the client and all travelers acknowledge and accept that:

  • Participation in travel, tours, and related activities involves inherent risks including physical, environmental, and situational risks
  • Reimagine Tours® acts as a travel designer, coordinator, and DMC and is not the direct provider of all services delivered by third-party suppliers
  • Reimagine Tours® is not liable for the acts, omissions, negligence, errors, or defaults of any third-party supplier, guide, accommodation provider, airline, transportation provider, venue, or any other third party
  • Reimagine Tours® is not liable for any loss, injury, damage, delay, or additional expense arising from circumstances beyond our control as described in Section 7
  • Reimagine Tours® is not liable for booking errors made by the client when booking directly with suppliers using links or information provided by Reimagine Tours®
  • Reimagine Tours® is not responsible for any participant’s personal expenses resulting from illness, flight delays, or travel disruptions

To the fullest extent permitted by law, Reimagine Tours®’s total liability to the client for any claim arising from these services shall not exceed the total professional fees paid by the client to Reimagine Tours® for the specific engagement giving rise to the claim.

Nothing in these terms limits liability for death or personal injury caused by the gross negligence of Reimagine Tours®, or any liability that cannot be excluded under applicable law.

9. Client Obligations

All clients engaging Reimagine Tours® for Bespoke Travel Advisory or DMC services agree to the following obligations:

9.1 Timely Communication & Cooperation

The client must provide all information, approvals, and decisions required by Reimagine Tours® in a timely manner. Delays caused by the client that impact the ability of Reimagine Tours® to deliver services are the client’s responsibility. Reimagine Tours® is not liable for any resulting costs or disruptions.

9.2 Compliance with Supplier Terms

Where Reimagine Tours® introduces or contracts suppliers on the client’s behalf, the client agrees to comply with all applicable supplier terms and conditions, including cancellation policies, conduct requirements, and operational rules. The client is responsible for ensuring their travelers comply with all venue, activity, and supplier rules.

9.3 Conduct

Reimagine Tours® maintains a zero-tolerance policy for disruptive, abusive, or threatening behavior toward our staff, partners, guides, or other travelers. Reimagine Tours® reserves the right to terminate services immediately and without refund in the event of such behavior. Any additional costs incurred as a result are the sole responsibility of the client.

9.4 Confidentiality

All information provided by Reimagine Tours® including itinerary designs, supplier identities, pricing structures, booking links, operational processes, and partner details is strictly confidential and proprietary. The client must not share, disclose, or use this information for any purpose other than the engagement for which it was provided, without prior written consent from Reimagine Tours®. This obligation survives the termination of the engagement.

9.5 Compliance with Laws

The client is responsible for ensuring compliance with all applicable laws, regulations, entry requirements, visa requirements, and health and safety rules relevant to their journey and program. Reimagine Tours® is not liable for any costs or disruptions arising from the client’s or their travelers’ failure to comply.

10. Intellectual Property

All itinerary designs, travel plans, research documents, destination guides, and other materials produced by Reimagine Tours® are the intellectual property of Reimagine Tours® and are provided to the client for their personal or organizational use only.

The client must not reproduce, distribute, resell, or share any materials produced by Reimagine Tours® without prior written consent. All content on reimaginetours.com, including text, images, logos, and other materials, is protected by copyright and may not be used without prior written consent from Reimagine Tours®.

11. Third-Party Services & Partner Liability

Reimagine Tours® works with a network of vetted third-party partners to deliver services. While we take care in selecting and managing our partners, Reimagine Tours® is not liable for:

  • The quality, accuracy, or delivery of services provided directly by third-party partners
  • Cancellations, errors, or failures by third-party partners
  • Any loss, damage, injury, or disruption caused by a third-party partner’s actions or omissions

Where a third-party supplier cancels or fails to deliver a confirmed service, all liability for that failure rests with the supplier. Reimagine Tours® will use reasonable efforts to source an alternative but does not guarantee a replacement and is not liable for resulting losses.

Clients and travelers acknowledge that some services may involve inherent risks. By participating, all travelers voluntarily assume those risks and agree to hold Reimagine Tours® harmless from any claims arising therefrom.

The Company is not liable for any acts, omissions, delays, cancellations, or service failures of third-party suppliers.

12. Governing Law & Jurisdiction

These Terms and Conditions are governed exclusively by the laws of the State of Illinois and applicable U.S. Federal law. The place of contract is the State of Illinois, USA, regardless of the physical location of the services delivered.

All disputes arising from these terms or from the engagement of Reimagine Tours® shall be resolved in the courts of Cook County or Will County, Illinois. The client agrees to first seek resolution through Reimagine Tours®’s internal dispute process before pursuing external legal action.

If you are a resident of the European Union or United Kingdom, you acknowledge that you are voluntarily contracting with a U.S. company for services to be performed abroad. While Reimagine Tours® respects applicable local safety regulations, all contractual disputes, refund claims, and liability matters shall be settled under Illinois law and jurisdiction.

Mandatory Local Rights: Nothing in these terms is intended to exclude any mandatory consumer rights you may have in your country of residence that cannot be waived by contract.

13. Data Privacy

Reimagine Tours® takes privacy seriously. Personal data is processed in accordance with applicable privacy laws including the GDPR (for EU and UK clients) and the CCPA (for California residents). We process personal data on the basis of performance of contract. We do not sell your data. For full details, please refer to our Privacy Policy at reimaginetours.com.

14. Changes to These Terms

Reimagine Tours® reserves the right to update or modify these Terms and Conditions at any time without prior notice. The current version will always be published at reimaginetours.com. Continued engagement with Reimagine Tours® following any update constitutes acceptance of the revised terms.

15. Agreement & Acceptance

By engaging Reimagine Tours® for Bespoke Travel Advisory or DMC services — including but not limited to paying a planning retainer or professional fee, signing an engagement letter, confirming services via email, or using booking links or materials provided by Reimagine Tours® — you confirm that you have read, understood, and agree to be bound by these Terms and Conditions in full.

These terms are incorporated by reference into all proposals, invoices, engagement letters, and correspondence issued by Reimagine Tours®. The full Legal Terms and Conditions of Reimagine Tours® are available at reimaginetours.com and form part of this agreement.
