Reimagine Tours® operates as a Tour Operator, Agency, Destination Management Company (DMC), and Bespoke Travel Designer. We provide services tourists, to travel agencies, tour operators, DMCs, river and ocean cruise lines, and other travel industry professionals worldwide.
Our services include, but are not limited to:
By engaging Reimagine Tours® in any capacity — as a client receiving services or as a supplier providing services — you agree to be bound by these Partner Terms & Conditions in their entirety.
These Partner Terms apply to:
These terms apply whether the booking was made via direct booking, online booking link, email confirmation, invoice, or any other method of confirmation.
Partners of Reimagine Tours® may operate in one or both of the following capacities:
A Client Partner is a travel agency, tour guide, tour operator, DMC, cruise line, Transportation Provider, or other travel business that engages Reimagine Tours® to coordinate, plan, or deliver services on their behalf. Client Partners agree to all terms set out in Sections 4 through 11.
Where a Partner engages Reimagine Tours® for Bespoke Travel Advisory or Destination Management Company (DMC) services, the Partner acknowledges that they are acting in the capacity of a Client for those services and agree to be bound by the applicable Bespoke Travel Advisory & DMC Terms and Conditions of Reimagine Tours®, as published on reimaginetours.com (link referenced below). In the event of any conflict, the Bespoke Travel Advisory & DMC Terms shall apply to those services
A Supplier Partner is a local guide, tour guide, tour operator, transportation provider, activity provider, or other service provider who delivers services to Reimagine Tours® or its clients. A Supplier Partner may also be an individual who acts simultaneously as guide and operator/service provider. Supplier Partners agree to all terms in Sections 4 through 11, as well as the additional Supplier Obligations in Section 12 and our legal terms.
All partners acknowledge that Reimagine Tours® invests significant time, resources, and expertise in identifying, vetting, and establishing relationships with its network of local guides, suppliers, and service providers (“Introduced Partners”).
Any partner engaged by Reimagine Tours® agrees that, without prior written consent from Reimagine Tours®, they shall not:
This non-circumvention obligation is unlimited in duration and applies to all Introduced Partners across all destinations, programs, and services, whether the introduction occurred during an active program or at any point in the business relationship.
Breach: In the event of a breach of this clause, Reimagine Tours® reserves the right to seek immediate injunctive relief, recovery of all damages, and recovery of reasonable legal fees and costs.
A booking is confirmed only upon receipt of written confirmation from Reimagine Tours®. Verbal agreements, emails, or provisional holds do not constitute a confirmed booking unless explicitly stated in writing by Reimagine Tours®.
Payment terms are as specified in the applicable invoice or booking confirmation. All payments are due in the currency stated on the invoice AND via our booking platform link. Reimagine Tours® reserves the right to manage split payments between its coordination fees and partner supplier costs or ask for additional fees as needed.
All coordination, planning, and support fees charged by Reimagine Tours® are 100% non-refundable, regardless of any subsequent changes to group size, number of groups, or services requested.
For example: if Reimagine Tours® is engaged to coordinate guide services for 100 passengers across four groups of 25, the coordination and planning fee is non-refundable even if the Client Partner subsequently reduces the number of groups, changes group sizes, or cancels individual groups — whether that change occurs before or after the service date.
Changes to group sizes or numbers are subject to the individual cancellation and change windows of the relevant Supplier Partners, as communicated by Reimagine Tours®. Reimagine Tours® will endeavour to accommodate changes where possible, but does not guarantee the ability to do so.
The Partner acknowledges that coordination, planning, scheduling, and operational management services provided by the Company are subject to coordination fees or service charges. These fees are earned for administrative and organizational services and are not refundable once services have been performed or allocated.
By completing a booking or making payment with Reimagine Tours® — whether via our booking link, invoice, email confirmation, or any other method — the partner expressly agrees to our Chargeback and Payment Disputes Policy as set out in our full Legal Terms & Conditions at reimaginetours.com.
Partners agree that they will not initiate a chargeback or payment dispute with their bank, card issuer, or payment provider.
Initiating a chargeback without following this process constitutes a material breach of these Partner Terms and may result in immediate suspension of the partner relationship, recovery of all associated costs, and legal action.
All booking requests must clearly identify the intended destination, including country. Where multiple destinations share the same or similar name, Reimagine Tours® shall interpret requests based on the information provided.
Reimagine Tours® is not liable for any misallocation, misinterpretation, or incorrect booking made by third-party partners, tourist offices, or suppliers where the destination is ambiguous, unclear, or incorrectly processed by such third parties.
Any resulting claims, fees, or damages arising from such errors shall be the sole responsibility of the party that made or processed the incorrect booking.
All services coordinated and provided by Reimagine Tours® are 100% non-refundable, regardless of the reason for cancellation. This includes, but is not limited to, cancellations arising from:
This non-refundable policy applies from the moment the booking is confirmed in writing.
All tours and services operate on a strict schedule. If a participant or group is not at the designated meeting point at the confirmed start time, the booking will be marked as a No-Show.
No refunds, credits, or rescheduled services will be provided for no-shows or late arrivals under any circumstances.
Client Partners are solely responsible for ensuring their passengers are informed of the meeting point, start time, and the consequences of late arrival. Reimagine Tours® accepts no liability for missed services due to late arrival.
Where individual Supplier Partners have specific cancellation or change windows agreed in writing with Reimagine Tours®, those terms govern the ability to cancel or modify that supplier’s services. Client Partners are responsible for adhering to these windows when requesting changes or cancellations.
Reimagine Tours® will communicate applicable change windows to Client Partners as part of the booking process. It is the Client Partner’s responsibility to track and adhere to these deadlines.
If a Supplier Partner engaged by Reimagine Tours® cancels, fails to perform, or does not deliver the agreed service, all liability for that failure rests entirely with the Supplier Partner. Reimagine Tours® acts as a coordinator and intermediary and is not liable for the failure, cancellation, or non-performance of any Supplier Partner.
In such circumstances, Reimagine Tours® will use reasonable efforts to source an alternative. However, Reimagine Tours® does not guarantee a replacement can be provided and is not liable for any losses, costs, or damages arising from a Supplier Partner’s failure to perform.
Reimagine Tours® reserves the right to modify, reschedule, or cancel a tour or service due to circumstances outside our reasonable control. In such cases, no refunds will be issued for Reimagine Tours® coordination and planning fees. Individual supplier refund eligibility will be determined by the relevant Supplier Partner’s terms.
Tours operate in all normal weather conditions, including light rain. In such cases, guides may adjust the route, make use of covered areas, or briefly pause where necessary to ensure comfort.
In the event of heavy or severe weather that impacts safety or significantly disrupts the experience, the tour may be modified, rescheduled, or cancelled. Such decisions are made on a case-by-case basis with guest safety as the top priority. Normal weather, including light rain, does not entitle any participant or partner to a refund or credit.
Sections of attractions, museums, palaces, or landmarks may occasionally be closed due to maintenance, renovations, or operational decisions by the venue. When this occurs, the tour will continue in and around the available areas, and the guide will adapt the experience accordingly.
Partial closures do not qualify for refunds. Access limitations are determined by the venue and are entirely outside the control of Reimagine Tours®.
In the event of transportation disruptions, strikes, or industrial action that prevents a guide from reaching the meeting point or guests from reaching the tour location, Reimagine Tours® will use reasonable efforts to provide an alternative. If the tour cannot proceed, it will be cancelled. No refunds will be issued where the disruption is caused by a third-party transportation provider or industrial action outside our control.
Tours may be cancelled or modified due to global pandemics, wars, civil unrest, government-imposed restrictions, sudden illness or injury of a guide, or any other emergency beyond our control. Reimagine Tours® will endeavour to provide reasonable notice and alternatives where possible. No refund of coordination and planning fees will be issued in such circumstances.
Reimagine Tours® reserves the right to modify tour routes, stops, or inclusions without prior notice based on local conditions, crowd levels, safety considerations, or other operational factors. Such modifications do not entitle any participant or partner to a refund or credit.
By engaging Reimagine Tours®, all partners, their passengers, and their clients acknowledge and accept that:
Supplier Liability: Where a Supplier Partner fails to deliver a confirmed service, all liability for that failure rests with the Supplier Partner. Reimagine Tours® is not liable to any Client Partner or end passenger for the failure, cancellation, or non-performance of a Supplier Partner.
Nothing in these terms limits liability for death or personal injury caused by the gross negligence of Reimagine Tours®, or any liability that cannot be excluded under applicable law.
All partners agree that the following information disclosed by Reimagine Tours® is strictly confidential and proprietary:
This information shall not be disclosed to any third party without prior written consent from Reimagine Tours®. This obligation survives the termination of any individual booking, service, or business relationship.
These Partner Terms & Conditions are governed by and construed in accordance with the laws of the United States, the European Union, and applicable international law. All partners agree to submit to the jurisdiction of the competent courts in the applicable territory in the event of a dispute.
These terms, together with any applicable booking confirmations, invoices, and written agreements, constitute the entire agreement between the parties with respect to the subject matter herein.
In addition to all other terms in this document, Client Partners who receive services from Reimagine Tours® agree to the following obligations:
Client Partners acknowledge that Reimagine Tours® works with Supplier Partners who have their own terms and conditions, including cancellation policies, change windows, group size restrictions, entry requirements, and timing rules. Client Partners agree to comply with all such Supplier Partner terms as communicated by Reimagine Tours®, including but not limited to cancellation deadlines.
Client Partners are solely responsible for ensuring their passengers are fully informed of all meeting points, start times, tour inclusions and exclusions, and the consequences of late arrival or no-show. Reimagine Tours® accepts no liability for any passenger’s failure to comply with tour requirements.
Client Partners are responsible for providing accurate and complete booking information, including passenger numbers, any special requirements, and any changes to group size or composition. Changes to group size or number of groups are subject to the change windows of the relevant Supplier Partners.
Client Partners are responsible for all payments due to Reimagine Tours® in accordance with the applicable invoice or booking confirmation. Failure to make payment by the due date may result in cancellation of services without refund.
Where a partner operates as a Supplier providing services to Reimagine Tours® or its clients, the following additional obligations apply. These obligations apply to all Supplier Partners, including individual tour guides, transportation providers, activity operators, and any other service provider:
Supplier Partners must deliver all confirmed services to the agreed standard, with full professionalism, punctuality, and regard for the safety, comfort, and experience of all guests. A confirmed service is a commitment.
The Partner provides guiding, transport, activity, or related tourism services as an independent contractor. The Partner is not an employee or representative of our company.
The Partner provides services as an independent contractor and is solely responsible for the delivery, safety, and quality of their services.
Once a service date is confirmed in writing, the Supplier Partner is committed to delivering that service. Cancellations by a Supplier Partner, except in genuine force majeure circumstances as defined in Section 7, may result in recovery of costs incurred by Reimagine Tours®, loss of future bookings, and termination of the partner relationship.
A Supplier Partner who cancels a confirmed service assumes full liability for all resulting losses, costs, and damages. Reimagine Tours® will seek to recover any such losses directly from the cancelling Supplier Partner.
Supplier Partners must hold appropriate and current public liability insurance and any other insurance required by law or appropriate to the nature of their services. Evidence of insurance must be provided to Reimagine Tours® upon request. Failure to hold adequate insurance constitutes a breach of these terms.
Supplier Partners must hold all applicable licenses, certifications, and permits required to legally deliver their services in the relevant city, region, or country. Supplier Partners must comply with all applicable local laws, health and safety regulations, venue-specific rules, and professional standards.
All client-facing and passenger-facing communication must be coordinated through Reimagine Tours® unless otherwise agreed in writing. Supplier Partners must not contact end clients, passengers, or Client Partners directly regarding bookings, pricing, future arrangements, or any commercial matter without prior written approval from Reimagine Tours®.
The partner acknowledges that the Company manages coordination, planning, scheduling, and client allocation. The Company may assign or organize work and operational logistics as part of its service model.
Supplier Partners acknowledge that certain venue, attraction, or partner-specific policies — including cancellation policies, entry requirements, group size restrictions, and timing rules — form part of their service delivery obligations. Supplier Partners agree to comply with all such third-party terms as communicated by Reimagine Tours®.
Where reasonably possible, Supplier Partners are expected to have contingency arrangements in place to cover illness, personal emergency, or other situations that may prevent them from delivering a confirmed service. The Supplier Partner must notify Reimagine Tours® at the earliest possible opportunity if there is any risk of non-delivery.
By engaging with Reimagine Tours® in any capacity — including but not limited to completing a booking via our booking link, returning a signed agreement, making payment against an invoice, or confirming services via email — you confirm that you have read, understood, and agree to be bound by these Partner Terms & Conditions in full.
These terms are incorporated by reference into all invoices, booking confirmations, and correspondence issued by Reimagine Tours®. The full Legal Terms & Conditions of Reimagine Tours® are available at reimaginetours.com and form part of this agreement.
Reimagine Tours® reserves the right to update these Partner Terms from time to time. The current version will always be published at reimaginetours.com. Continued engagement with Reimagine Tours® following any update constitutes acceptance of the revised terms.
